Terms & Conditions
Effective August 15, 2026
Colombia Music Tours is a trade name/DBA operated by Musical Getaways LLC (“Musical Getaways,” “Colombia Music Tours,” “we,” “us,” or “our”). These website terms describe the general conditions that apply when you inquire about, reserve, or participate in travel arranged through Colombia Music Tours.
1. Quotes, availability and reservations
Website itineraries are examples or currently planned departures and do not by themselves constitute a confirmed reservation. A quote may depend on travel dates, group size, hotel category, rooming, transportation, festival or event inventory and supplier availability.
A reservation is confirmed only when we have accepted the booking and any required deposit or payment has been received according to the written proposal or invoice. Until then, hotels, guides, transportation, event tickets and other services may remain subject to availability.
2. Prices and payments
Colombia Music Tours generally uses personalized quotes rather than publishing fixed prices on this website. Your proposal or invoice will state the price, currency, deposit requirements, due dates and accepted payment method for your trip.
Some supplier components may become nonrefundable once purchased or guaranteed. When a supplier requires a nonrefundable commitment that materially affects your booking, we will identify that in the applicable proposal, invoice or booking communication when reasonably practicable.
3. Cancellations, changes and refunds
Cancellation and change terms vary by journey and are stated in the booking documents provided for your trip. Any refund is subject to those terms and to amounts that can be recovered from hotels, transport companies, event organizers and other suppliers.
If you request a material change after services have been confirmed, revised pricing or supplier fees may apply. We will communicate those changes before proceeding whenever reasonably possible.
4. Festivals, concerts and special events
Festival and event programs can change after travel is booked. Artists, venues, event times, parade routes, seating plans and ticket categories are controlled by organizers and may be modified or canceled without our control.
We only treat a particular ticket, reserved seat, artist appearance or restricted-access experience as included when it has been specifically confirmed in your trip documents. When an event changes, we may adjust the itinerary or substitute a reasonable cultural or musical experience where feasible.
5. Itinerary changes and local conditions
Travel in Colombia can require adjustments because of weather, transportation disruptions, road conditions, public events, safety considerations, supplier changes, natural disasters, strikes or other circumstances. We may change the order, timing, route, accommodation or activity when reasonably necessary to operate the trip safely and responsibly.
We will make reasonable efforts to preserve the purpose and quality of the journey, but an itinerary should not be understood as a guarantee that every listed activity will occur exactly as described.
6. Third-party suppliers
Hotels, airlines, transport companies, guides, restaurants, venues, community organizations, event organizers and other travel suppliers provide many of the services included in a trip. They are independent suppliers and may maintain their own operating rules and terms.
Colombia Music Tours coordinates and curates these services, but we do not control every act, omission, schedule change or operational decision made by an independent supplier. Nothing in these terms limits any right or remedy that cannot lawfully be limited.
7. Passports, visas and entry requirements
Travelers are responsible for holding valid passports and satisfying the immigration, visa, health and entry requirements that apply to their nationality and itinerary. Requirements can change, so travelers should verify current rules with the appropriate government authorities before departure.
8. Health, mobility and accessibility
Please tell us before booking about mobility needs, significant dietary restrictions or other circumstances that could affect participation. We will make reasonable efforts to determine whether a proposed itinerary can accommodate those needs, but conditions vary by destination and supplier.
Travelers are responsible for assessing whether they are medically and physically able to participate in the activities they choose. Nothing on this website is medical advice.
9. Travel insurance
We strongly encourage comprehensive travel insurance appropriate to your trip, including coverage you consider suitable for cancellation, interruption, medical expenses, evacuation, baggage and other travel risks. Insurance products and coverage terms are controlled by the insurer, not Colombia Music Tours.
10. Traveler conduct and community respect
Our journeys often involve small groups, musicians, local families, cultural workers and community-based partners. Travelers are expected to follow reasonable safety instructions, respect local laws and customs, and avoid conduct that threatens, harasses or seriously disrupts other travelers, staff, suppliers or community partners.
We may end a traveler’s participation when we reasonably believe continued participation creates a significant safety or conduct problem. Any resulting costs are the traveler’s responsibility unless applicable law requires otherwise.
11. Photography, cultural access and intellectual property
Access to musicians, cultural workers, private homes, rehearsals or community spaces does not automatically grant permission to photograph, record, publish or commercially use a person’s image, performance or intellectual property. Travelers must respect instructions given by hosts, artists, guides and community partners.
12. Force majeure and events beyond reasonable control
Neither the traveler nor Colombia Music Tours can prevent every event that affects travel. Natural disasters, severe weather, epidemics, government actions, civil disturbance, strikes, transportation shutdowns, event cancellations and similar circumstances may require postponement, substitution or cancellation.
When such an event occurs, we will work in good faith to determine the practical options available, taking into account supplier terms, amounts already paid and recoverable funds.
13. Website information
We work to keep this website accurate, but destination information, festival dates, operating conditions and third-party details can change. Current trip documents and confirmed supplier information take precedence over older website text where there is a conflict.
14. Privacy
Information submitted through this website is handled according to our Privacy Policy. By submitting an inquiry, you authorize us to use the information you provide to respond to and plan your requested travel.
15. Traveler waiver
Participants may be required to complete a separate electronic traveler acknowledgment and waiver before travel. That signed document is separate from these website terms and applies according to its own language. See our Traveler Waiver information page.
